Privacy Policy
This policy explains how Adexa collects, uses and protects personal information when you visit our website, apply for a free Google Ads Profitability Audit + Scaling Roadmap, give read-only Google Ads access, or contact us.
1. Who We Are
Adexa provides Google Ads services for Ecommerce businesses, including the free Google Ads Profitability Audit + Scaling Roadmap.
For personal information collected through this website, audit application forms, enquiries and related follow-up, Adexa is responsible for deciding how that information is used.
You can contact us about this policy or your data at audit@adexa.io.
2. Information We Collect
We collect information that helps us understand your enquiry, assess audit fit, deliver the audit, improve the website, or follow up with relevant businesses.
| Audit form details | Your website URL, first name, last name, email address, eligibility answers, read-only access confirmation, timestamps, form step reached, and related submission details. |
|---|---|
| Partially completed forms | If you enter your website URL or contact details but do not complete every step, we may record the information submitted so far. This helps us understand drop-off points and, where appropriate, follow up about the audit. |
| Google Ads account information | If you grant read-only access, we may review Google Ads performance, account structure, campaigns, budgets, bids, search terms, product performance, Merchant Center or feed signals, tracking signals, and other account data visible through read-only access. |
| Website and campaign data | Landing page URL, referral source, UTM parameters, ad click identifiers, campaign identifiers, browser or device information, approximate location, time on page, and similar analytics information. |
| Enquiries and calls | Information you send by email, form, phone, calendar booking or call, including your name, business details, message content, meeting details and any notes needed to respond. |
| Business enrichment data | Where appropriate, we may use public or business data sources, including tools such as Clay, to understand the company behind a submitted website URL and contact relevant business contacts about the audit. |
We do not ask for your Google Ads password. If your application is accepted, you only need to invite audit@adexa.io with read-only access. Read-only access lets us review performance but prevents us from making changes.
3. How We Use Your Information
- To capture audit applications and track which stage of the form has been completed.
- To assess whether your business is a good fit for the free audit.
- To contact you about your audit application, including incomplete applications where you have provided a website URL or contact details.
- To request, check and confirm read-only Google Ads access.
- To complete your Profitability Audit, Scaling Roadmap and Looker Studio report.
- To respond to emails, bookings, calls or other enquiries.
- To improve the landing page, form journey, advertising campaigns and service quality.
- To keep reasonable business records and protect our business, website, systems and users.
- To comply with legal, accounting, security or regulatory obligations.
4. Our Lawful Bases
Under UK data protection law, we rely on different lawful bases depending on how we use the information.
| Pre-contract steps | When you ask us to review your website, assess your fit, respond to your enquiry, or prepare an audit you have requested. |
|---|---|
| Legitimate interests | For B2B follow-up, improving the website and form journey, understanding campaign performance, keeping business records, and protecting our systems. We balance this against your rights and interests. |
| Consent | Where we ask for consent, such as optional marketing permissions or certain non-essential cookies or tracking technologies. |
| Legal obligation | Where we need to keep or disclose information to meet legal, tax, accounting or regulatory duties. |
5. B2B Follow-Up and Marketing
If you apply for an audit, start the form, email us, book a call, or otherwise show interest in Adexa, we may contact you about the audit, your application, or related Google Ads services.
If you only enter a website URL, we may use public or business enrichment sources to identify the business and relevant business contacts so we can follow up about the audit. We do this only where we believe the contact is relevant and the outreach is proportionate.
You can opt out or object at any time by emailing audit@adexa.io or using the unsubscribe option in any marketing email.
7. International Transfers
Some of the tools we use may process information outside the UK or European Economic Area. Where this happens, we use providers that apply appropriate safeguards, such as adequacy arrangements, standard contractual clauses, or equivalent protections where required.
9. How Long We Keep Information
We keep information only as long as needed for the purposes described in this policy, unless a longer period is required by law or reasonable business record-keeping.
| Incomplete audit applications | Usually up to 12 months, unless you ask us to delete it sooner or we need to keep a suppression record to respect an opt-out. |
|---|---|
| Completed audit applications | Usually up to 24 months after the last meaningful interaction, unless you become a client or ask us to delete it sooner. |
| Audit materials and reports | Usually up to 24 months after delivery, unless we need them for an active client relationship, legal issue, quality review or accounting record. |
| Marketing preferences | We may keep opt-out or suppression records so we do not contact you again by mistake. |
| Analytics information | Aggregated or de-identified analytics may be kept for longer because it does not directly identify you. |
10. Security
We take reasonable steps to protect personal information and audit data, including limiting access to people and providers who need it for the purposes described in this policy.
For Google Ads audits, we ask for read-only access. This means we can review account performance, but we cannot edit campaigns, change budgets, adjust bids or update settings.
You can remove Adexa's Google Ads access at any time. We recommend keeping audit@adexa.io added until your audit has been delivered so we can complete the review.
11. Your Rights
Depending on the situation, you may have the right to:
- Ask for a copy of the personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete your personal information.
- Ask us to restrict how we use your information.
- Object to certain uses of your information, including direct marketing.
- Ask us to transfer your information where the right to portability applies.
- Withdraw consent where we rely on consent.
To exercise your rights, email audit@adexa.io. We may need to confirm your identity before acting on a request.
You also have the right to complain to the UK Information Commissioner's Office. You can find more information at ico.org.uk/make-a-complaint.
12. Children
Our website and audit services are intended for business users. They are not aimed at children, and we do not knowingly collect information from anyone under 18.
13. Changes to This Policy
We may update this policy from time to time. The latest version will always appear on this page, with the updated date shown at the top.
